Minutes
The meeting was called to order by Debby Cowden. Those attending were: Donna Vanderveer, Debby Cowden, Heather Basurto, Kenny Smith, Jill Gallion, Thea Gallion and Bill Mathes, Kay Smith, Cathy Roussarie, Dennis Young, Paul Smith, Don Bishop, Jr., Artha Lane.
A motion was made by Bill Mathes and seconded by Jill Wright to approve the minutes as presented for the August 30, 2004, meeting. Motion carried unanimously.
Vonna Johnson presented the financial statement, indicating that no monies were expended nor deposited since 8-30-04, and the balance in the checking account was $1, 156.64, as reconciled with the bank statement for the month of September, 2004.
Heather Basurto was not present to report on the status of securing a caterer for the BBQ due to another meeting, but sent word through Debby Cowden on her findings:
Crane - Jim's BBQ - no response
Odessa - Corey's BBQ - no response
Doby's BBQ - no response
Bar B-Q Barn - no response
Mr. Bar BQ - $9.41/plate ($750 X 9.41 = $6,057.50)
5 meats, beans, coleslaw, potato salad, bread, condiments, dessert, tea, utensils/napkins/plates, set up and clean up.
Johnny's BBQ - $6.15/plate ($750 X 6.16 = $4,612.50)

It was discussed that not only was Johnny's BBQ the best price, but that they had provided the services for us the last two reunions and had provided excellent service and the quality and quantities of food served were excellent. A motion was made by Jill Gallion and seconded by Kenny Smith to contract with Johnny's BBQ to provide the catering services for the reunion. Motion carried unanimously.
Jill and Kenny gave a report on their efforts in obtaining information and pricing for bands. Jill reported that most of her contacts had indicated that they did not need commitments but about 4-6 months in advance. This was good news because in the past, we had had to commit 6-9 months in advance. They are still in the process of contact agents and will have some more information at the next meeting.
Jill asked the group to set a cap on the amount the association was willing to spend on the band. She indicated that would help them in securing information regarding possible bands. A motion was made by Dennis Young and seconded by Don Bishop, Jr. (June Bug), to set a $6,000 cap for hiring a band. Motion carried unanimously.
In Thea Gallion's absence, Jill Wright indicated that Thea did commit to heading up the registration booklets and advertising committee and would organize the Saturday morning registration.
Jill also indicated that Laura Stark Richards committed to heading up the Luau committee and that Dede Smart Wallace would head the Publicity Committee.
We are waiting on Don Woodward to commit to organizing the General Assembly.
We need someone to chair the address updates for the following classes: 30-41; 43-48; 55; 57-61; 63; 71-83; 89-90; 96; 97-2004.
Artha "Cookie" Lane agreed to work on Bethune information.
A discussion was entered into regarding the completion of the class pictures which are hung in the SUR. The association agreed to work with the high school student council in 2000 to try to get a class picture hung for every class. Over the last several years, Cathy Roussarie, Donna Vanderveer and Vonna Johnson and Debby Cowden have gathered annuals and had the senior pictures copied at Office Depot. Donna Vanderveer cut all the pictures apart the size of a wallet photo and organized them into classes. We have approximately 10-15 classes ready to be matted and framed. Sally Dodd is working with the student council to get these matted, framed and mounted before the reunion. The student council is going to finance the project in part. A motion was made by Debby Cowden and seconded by Kenny Smith to donate $25 to the Crane High School Student Council towards to matting and framing as the class was finished and ready to be hung. Motion carried unanimously.
The next meeting will be Monday, November 1, 2004, 7:00 p.m. at the Chamber Building.
There being no further business, the meeting was adjourned.
