Minutes
The meeting was called to order by President, Laura Richards. Those attending were: Vonna Johnson, Laura Richards, Beverly Farmer, Heather Basurto, Johnny Bull, Debby Cowden, Gene Cowden, Bill Mathes, Donna Vanderveer, Kay Smith, Floyd Smith, Paul Scott Smith, and Bud Taylor.
Heather read the minutes and a motion was made by Donna Vandeveer to except minutes for February 7, 2005. Bill Mathes seconded and the motion carried.
Finances -
Vonna reported on the finances: $8,058.01 was transferred from the CD at Security State Bank and deposited into the checking account at West Texas National Bank. Vonna reported that she left a $2,000 balance in the certificate of deposit in order to keep the certificate active. She reported that a check in the amount of $3,000 was mailed along with the contract to Best Texas Bands, Inc. for the down payment of "The Pictures" for the reunion dance. Vonna reported that that was the only major expenditure since the March 7 meeting leaving an operating balance of $5,966.53. The other expenditures were small miscellaneous expenses.
BBQ -
Heather reported the BBQ is booked with Johnny’s BBQ and the Building is reserved.
Dance -
On behalf of Jill Gallion and Kenny Smith, Vonna reported the dance is looking good. The contract has been accepted and the check for the down payment has been sent. They will receive the balance payment of $3000.00 after they have fulfilled the contract as stated therein. The balance payment is not required to be made until the evening of the performance.
The contract states "The Pictures" require seven double rooms for one night and Vonna spoke with Don Woodward and reports that he has agreed to talk with the area hotels to get them to possibly comp one to seven of the rooms. The Exes Association will add the cost of rooms to budget to insure payment if need be.
Bill Mathes stated "if we are unable to get the Hotel rooms compted please call him (940-2772) and he will get rooms at the Airport Plaza Inn for little cost.
Ads -
Johnny Bull reported he used his computer to make a mock up of the various sizes of advertising space available to purchase. He felt this would help make the choice simple for the businesses and keep a record for future "all class reunions." Johnny also stated he has delivered many sales sheets to businesses and will be able to pick up orders with payment, Thursday, March 10. Debby Cowden has helped with the sale of ads and reports she has sold ten up to this date.
Registration/General Assembly –
Registration tables will be set up in the New Gym under the direction of Paul Scott.

Vonna stated the General Assembly program will be in the same order and entertainment will be provided by Elizabeth Geary Mandry, Ex-student ,1994, who volunteered to do a tribute to honor the military and a short medley.
Vonna reported that Clay Gilliam, 1980, emailed her suggesting some sort of memory wall for all deceased ex-students. Vonna reported that we have a good base to work from, but has requested details from Clay on how McCamey honored their deceased classmates. Clay had not responded with the details by meeting time.
A discussion was entered into concerning honoring ex-students or faculty. Previously, it had been suggested that Paul Patterson, Elmer Kelton and Winnie Browning be honored in someway. Beverly Farmer suggested that she would like to see Doug Chrane, former math teacher, honored in addition.
There was considerable discussion about criteria for honoring someone: should one individual be allowed to honor someone or should it be a group of individuals; should there be criteria set for honoring someone (significant community contribution); should the honoree be an ex-student or associated with the school in someway.
Donna stated that Officers should create guidelines on how an outside party (outside party being a group outside the Exes Association) would honor a person during the Assembly. Vonna pointed out that we only have 1 hour to take care of normal assembly items and that this idea could easily get out of hand timewise. She suggested that only folks who have made significant community and/or school contributions should be considered. Bud Taylor stated that possibly the Assembly was not the appropriate avenue to honor individuals and that was the consensus of those present as well. A motion to abandon the practice of honoring individuals at the Assembly was made by Bud Taylor. Donna Vanderveer seconded the motion. Motion carried unanimously.
It was suggested in discussion that possibly a more appropriate time for such tributes might be after the assembly and before the BBQ at a reception of some kind sponsored by the group wanting to do the honoring. Paul Scott Smith suggested another way to honor those folks could be for the group to purchase an ad in the Registration Booklet. In this way, the tribute would be seen by all ex-students, not just those who attended the reunion and the honoree would have the printed matter as a keepsake. The Exes Association would gladly announce at the assembly any receptions or parties for such folks and also for single class get-togethers.
Luau -
Neither Nina Heiser nor Rosemary Cavazos were present to give a report. Heather reported that Rosemary Cavazos had given cost sheet to give to the County and we were waiting on their bid. Vonna reported that The Dinner Bell had originally passed on the job, but wanted to be reconsidered. They have also been provided with the cost sheets to work from. They were both asked to give the officers an answer by the following Thursday. Kay Smith reported that Nina had to work and she would have her call Laura or Vonna for information.
Miscellaneous -
Laura stated phone calls from classes or family members have been nice and helpful.
Vonna had postcards that had been returned. After the meeting was adjourned the group stayed to organize the postcards by class in order for them to be corrected in the database.
The next regular meeting will be held April 4, 2005, 7:00 p.m., at the Chamber of Commerce.
There being no further business, a motion was made by Donna Vanderveer to adjourn. Bill Mathes seconded the motion. Motion carried.
