Minutes
The meeting was called to order by Vonna Johnson. Those attending were: Vonna Johnson, Kenny Smith, Kay Smith, Floyd Smith, Heather Basurto and Debby Cowden.
A motion was made by Debby Cowden and seconded by Heather Basurto to approve the minutes as presented for the December meeting. Motion carried.
Vonna Johnson indicated that she had not received the December bank statement and that the checking account balance and CD balance were virtually the same except for a small amount of interest earned on both. No monies had been withdrawn or deposited in either account since the last meeting.
Jill Wright was not present to report on the band search. Kenny Smith thought she was still waiting to hear from a new contact. There was considerable discussion concerning the type of band we wanted for the dance. It was reiterated that at our previous meeting, a cap of $6,000 was set for the cost of the band. Everyone at the meeting seemed to be in agreement that it would best serve the reunion to follow the precedent set the last 3 reunions which was a show/dance band that would be able to play a variety of music both for the entertainment value and the dance value to span the 40's through present. The group seemed to want at least one costume change or a band that was dressed-up, not a T-shirt and holey-jean cowboy only look. An "act" or show-band" was the consensus of the group. Debby Cowden agreed to help with the band search and contact her sources and Heather Basurto had someone in the Dallas area she thought might have some new and upcoming acts that would be within our price range and needs. Jill is continuing her search as well per Kenny. Vonna is going to contact Don Woodward and see if can help with some other contacts. We agreed that we need to find a band that will be willing to commit pretty soon, as we have to get the registration book started and start advertising.
Debby reported that Dell Cavazos said she would clean the exhibition after the dance for $300. No action was taken on the offer.
Thea was not present to report on the information concerning the cost of the registration booklets, or postcards. We had dedided at our December meeting that we would set the date for the first mailout at this meeting. Heather Basurto offered to contact the Midland post office and the city of Crane and Kinkos and get approximate costs and instructions on how to sort the postcards, etc. so we could have everything ready to mailout when we meet in February.
Neither Laura Stark or Dede Wallace were present to report on the advertising and Luau progress. Vonna Johnson agreed to contact the cafeteria and get prices from them for the food and preparation. Heather reported that the swimming pool would be available for use August 5. There had been some discussion earlier about not having the Luau and have a gathering at the park. After considerable discussion of the pros/cons and alternatives, Kay Smith made a motion that we have the Luau at the swimming pool as in year's past. Debby Cowden seconded. Motion carried.
Vonna Johnson will prepare an article for the paper, website and Channel 10 school news channel advertising our February worknight meeting.
Once Heather has gotten the postcards printed and Vonna has printed and sorted labels according to postal instructions, we will be able to get the labels affixed to the postcards and ready to mail after the meeting is adjourned. It was thought that if we had enough workers that it shouldn't take but an hour and half to get the job done.
It was agreed that once registration starts, there would be a NO REFUND policy on any event.
The next meeting will be February 7, 2005, at 7:00 pm, Crane Chamber of Commerce.
There being no further business, the meeting was adjourned.
